The short version
- We would rather defer you than keep money for a course you cannot finish.
- Cancel more than 7 days before your cohort starts: full refund, less transaction charges.
- Cancel within 7 days of the start: transfer to a later cohort instead of a refund.
- Withdraw during the first week: refund less the cost of what has already been delivered.
- After the first week: no refund, but we will consider a deferral where your situation warrants it.
- If we cancel and cannot offer a suitable alternative: full refund, including transaction charges.
1. What this policy covers
This policy explains what happens to course fees when a learner cancels, withdraws or defers, or when Elimu Sasa postpones or cancels a cohort. It forms part of our Terms of Service. Fee amounts and payment plans are confirmed to you in writing before you enrol.
Nothing in this policy limits any rights you have under Kenyan law, including consumer protection law. Where the law gives you a better outcome, the law applies.
2. How to make a request
All cancellation, withdrawal, deferral and refund requests must be made in writing to info@elimusasa.com, quoting your name, course and cohort. The date we receive your written request is the date we use. We recommend speaking to admissions first, as there may be options you have not considered.
3. Cancelling before your course starts
| When you cancel | What happens |
|---|---|
| More than 7 days before the cohort start date | Full refund of fees paid, less any non-refundable transaction charges from the payment provider. |
| Within 7 days of the cohort start date | We offer a transfer to the next suitable cohort instead of a refund, because your place and mentor time have been reserved. |
4. Withdrawing during the first week
If you withdraw before the end of the first week of your course, we refund the fees you have paid less the cost of the live sessions, mentor time and any materials already delivered to you. We will show you how we worked out the amount.
5. Withdrawing after the first week
Fees are not normally refundable after the first week, because mentor and instructor time for your cohort has been committed. We will look at deferring you to a later cohort where your situation warrants it, as described below.
6. Exceptional circumstances
If something serious and unexpected happens, such as serious illness, bereavement or a major change in your circumstances, please tell us. We will consider each case fairly and may offer a deferral, transfer, partial refund or other reasonable arrangement. We may ask for reasonable supporting information, which we will keep confidential and use only to consider your request.
7. Deferring to a later cohort
- You can normally defer once.
- Our proposed deferral window is 12 months from your original start date. You will need to join a cohort that starts within that window.
- Further deferrals are at our discretion.
8. Third-party licences and subscriptions
Some courses include third-party software licences, subscriptions or services bought for you. Once these have been activated or issued to you, their cost cannot usually be refunded, and we will deduct it from any refund. The course page or your enrolment confirmation will tell you if this applies.
9. Instalment plans
Withdrawing does not automatically cancel instalments for sessions or support already delivered. Contact us and we will agree in writing what remains payable, if anything, and cancel instalments that are no longer due.
10. If we postpone a cohort
If we need to postpone a cohort start date, we will tell you as early as we can and offer you the new date, a transfer to another cohort, or, if neither suits you, a full refund of fees paid.
11. If we cancel a cohort
If we cancel a cohort and cannot offer you a suitable alternative, you will receive a full refund, including transaction charges.
12. Removal for serious misconduct
If we remove you from a course because of serious misconduct under our Learner Code of Conduct, fees are not normally refunded, and outstanding fees for sessions already delivered remain payable. We will only do this after following the fair process in that policy.
13. How refunds are paid
We pay refunds to the person or organisation that made the payment, using the original payment method where possible, normally within [To confirm: refund processing time, proposed 14 days] of agreeing the refund. Where a sponsor or employer paid, the refund goes to them unless they agree otherwise.
